How does University transportation work? Where do we go to pick-up the vehicles? What is the latest time that we can pick up the vehicles?

All clubs are able to access University vehicles, however, a Vehicle Request form needs to be turned into Cheryl at least 2 weeks prior to departure. The University vehicles are to be picked up at Transportation Services (located off of Kipke Drive by Crisler Arena) by no later than 4:00 PM on the day you have requested to depart. If your day of departure is Saturday or Sunday, you must pick up the University vehicles by no later than 4:00 PM on the Friday prior to your departure.

Can you tell us how much money is left in our budget?

We are not able to necessarily give an up-to-date budget summary because of the time it takes for Transportation Services to process the vehicle requests. If you are, however, interested in acquiring an estimate of the amount of money left in your budget, you can email Cheryl and she will get back to you as soon as she is able. Additionally, the most up-to-date version of the budget will be on the website starting September 10, 2008.

Why is it necessary to turn in a semester report for each semester AND an end of the year report when most of the questions are the same?

It is necessary to turn in a semester report for each semester AND an end of the year report because this is documentation that is required to be on file for all Club Sports Programs. Although some of the questions are the same, these forms are not identical and provide the Club Sports staff with information on each individual semester, as well as information about the semester as a whole.

Why do travel requests need to be turned in at least 2 weeks prior to the game/tournament/event?

Travel requests need to be turned in at least 2 weeks prior to the game/tournament/event so that we can ensure that all of the necessary paperwork is filled out entirely and correctly. This amount of time allows us to verify that all individuals involved in the planned activity are up to speed with what is going on and we can be sure that University transportation is available, if need be. Often times all of the vans in Transportation’s fleet are reserved months ahead of time. Turning in your request as soon as you know you will be traveling helps to guarantee you will get the vehicle(s) you requested.

How do we get a Coach’s Pass? How do we get a member of our club a Limited User’s Pass?

Each club is able to have up to two Coaches’ Passes for which no fees are required. Those teams needing more than two Coaches’ Passes will have to pay the same fee that is required of club members who wish to obtain Limited User Passes. In order to request one of these passes, the contact for your club needs to email Cheryl with your first and last name. Your pass will then be ready for pick-up at the IMSB Main Office two business days after your club contact has gotten in touch with Cheryl.
